Childcare Pavilion Frequently Asked Questions (FAQ)

1. What ages do you accept?

The Childcare Pavilion welcomes children from infancy through 17 years old and is divided into three age-appropriate areas:

  • Infants & Toddlers

  • Tweens

  • Teens

Each area provides activities appropriate for the age and developmental needs of participants.

2. How do I check my child in?

All children must be checked in by a parent or legal guardian using our secure web-based registration form. During check-in, we collect emergency contact information, authorized pick-up information, allergies, medical conditions, accommodations, and any other important details needed to safely care for your child. This form is then shown to the attendees at check-in to create the name tags which will repeat the information provided. After the parent or Guardian confirms it is correct, the child may enter and the guardian is free to enjoy the surrounding festivities or join their child in play.

3. Will my child be supervised at all times?

Yes. Our designated play space will have trained staff and volunteers supervising the childrenm at all times. Our team maintains appropriate supervision ratios, and children are never left unattended within our playspace. Please note there will be instances of direct engagement and safety measures are in place to ensure children not engaged in direct interactions are able to roam the play space freely within the confines of the boundaries set. Parents are encouraged to ask questions as deemed neccesary.

4. What should my child bring?

Please send your child with a labeled water bottle (if available), diapers and wipes (if applicable with written consent). We ask that parents keep any necessary medications, comfort items (if needed), and other medical or soothing essentials to avoid misplacement. If they desire these items during their stay with us we will first utilize skills in redirecting before requesting a guardian's assistance. Our public playspace has ample play objects for your child to engage with, for the protection of household items we respecfully ask for them to remain in the parents possesion.

5. How are allergies, medical conditions, and special accommodations handled?

Information provided during check-in is reviewed by our team before your child enters the pavilion, rewrote by the attendant, and displayed on the name tag of the child for visbility to other team members. Please ensure all allergies, medical conditions, dietary restrictions, and accommodations are accurately listed on the registration form so we can provide appropriate support.

6. What happens if my child becomes upset or asks for me?

Our staff will comfort and engage your child using age-appropriate techniques. If your child cannot be comforted or repeatedly requests you, we will contact you immediately using the phone number provided during check-in.

7. What happens if my child becomes sick or there is an emergency?

If your child becomes ill or is injured, trained staff will provide appropriate first aid, contact emergency medical services if necessary, and notify the parent or emergency contact immediately.

8. Can I check on my child while I'm enjoying the event?

Yes! Parents and guardians are welcome to stop by the Childcare playspace at any time or speak with a staff member to check on their child's experience.

9. How does pick-up work?

For your child's safety, only the parent, guardian, or an authorized individual listed on the registration form may pick up your child. Identification may be requested before a child is released. This identification must match the signature on the check in documentation.

10. What if I am delayed picking up my child?

If you anticipate being delayed, please notify a use by texting 256-733-1717 and a staff member will be advised as soon as possible. We will continue supervising your child while attempting to contact you or your authorized emergency contact, if necessary.
